Migrating to Klipy from another CRM is straightforward. Most data comes in through two steps: a contact CSV import and an email connection. Klipy rebuilds your relationship history automatically from your email.Documentation Index

What Klipy recovers automatically
When you connect your email account, Klipy goes back through your email history and:- Rebuilds contact relationships from past threads
- Reconstructs conversation history for each contact
- Surfaces open threads, unanswered emails, and relationships that have gone quiet
- Generates follow-up suggestions for the most time-sensitive contacts
The recommended migration approach
Export contacts from your current CRM
In your current CRM (HubSpot, Salesforce, Pipedrive, etc.), export your contacts to a CSV. Most CRMs have a bulk export option under Contacts → Export.Include as many fields as possible: name, email, company, title, phone, and any custom fields you rely on. Email address is the most important field — it’s used for deduplication and relationship matching.
Import the CSV into Klipy
Go to Contacts → Import in Klipy, upload the CSV, and map your columns to Klipy’s fields.Detailed CSV import instructions →
Connect your email account
Go to Settings → Integrations and connect Gmail or Outlook via OAuth. This is the step that unlocks Klipy’s intelligence — it reads your past emails and begins building your pipeline view.Supported email providers →
Connect your calendar
Connecting your calendar gives Klipy visibility into upcoming meetings so the notetaker can join calls automatically.
What doesn’t transfer
Deal stages and pipeline custom fields
Deal stages and pipeline custom fields
Klipy doesn’t have a traditional pipeline stage system the way Salesforce or HubSpot does. Klipy surfaces active and at-risk relationships based on conversation signals rather than manual stage updates. Custom field data from your old CRM won’t map directly.
Notes and activity logs from the old CRM
Notes and activity logs from the old CRM
Internal notes, call logs, and tasks created inside your old CRM can’t be imported directly. You can add notes manually to contact records in Klipy, or paste key context into the notes field during the CSV import.
Email history that predates your email account's retention window
Email history that predates your email account's retention window
Klipy reads your live email account. If your Gmail or Outlook only retains emails from the past 12–24 months (e.g. due to archiving policies), that’s the limit of what Klipy can reconstruct.
Tips for a clean migration
- Clean your export first — remove bounced, unsubscribed, or clearly stale contacts before importing. It reduces noise in your Klipy workspace.
- Use email as the primary key — if your CSV has duplicates, the one with the most complete email field will be kept.
- Don’t rush the processing — after connecting your email, give Klipy 10–15 minutes to process your history before evaluating the result.
